Delegations must collect their accreditation on Thursday, 26 October 2023 at the Senate
between 9:00 and 11:00.
For security reasons, all meeting participants must have their accreditation prominently
displayed during the meeting and all activities. Only participants with the correct accreditation
will be permitted to access the Senate and other meeting locations. If lost, please inform the
organisation immediately.

The Senate will provide transport by bus from the hotels to the location of the meeting. The
bus departure times will be available at the hotels.
Simultaneous translation will be provided in English, French and Spanish. The organising body
may provide interpretation booths for three additional languages. Member states can request
interpretation into their own language and requests will be confirmed on a first-come, first-
served basis. Member states will assume the cost of interpretation into their language and the
host state will assume the cost of the infrastructure and technology required.
Delegations accompanied by their own interpreters must register them on the registration
form.

connection and printer.
Bilateral meetings
There are rooms reserved for bilateral meetings. Delegations wishing to book a room should

indicating the meeting and time at which they wish
to request the bilateral meeting.
If you wish to make a reservation during the meeting, please contact the Secretariat room at
the meeting.
Café service
A café service will be available from 11:00 to 12:30.
Social events
On 26 October there will be a dinner at the Hotel Wellington (calle de Velázquez 8, 28001
Madrid).
Please do not forget to indicate any food intolerances or allergies on the registration form.
Webstreaming
The meeting will be available live with sound from the room and in English on the Presidency's
website.
Smoke-free space
All participants are informed that smoking is prohibited inside the Senate building.
